Notifications & reminders
MediBook keeps patients and staff informed automatically. Email works out of the box; SMS and WhatsApp can be added, and every message uses a template you can edit.
Channels
- Email is built in and uses your WordPress mail setup.
- SMS and WhatsApp are delivered through Twilio. Connect it under Integrations, then enable the channels here.
Patients need a phone number on file to receive SMS or WhatsApp messages.
What gets sent
- Booking created and booking confirmed
- Pending approval, and rejected or cancelled
- Rescheduled, with the new time and any video link
- Appointment reminders before the visit
- Payment receipt once a payment succeeds
- A waiting-list alert when a matching slot opens
Templates
Under Notifications you can edit the subject and body of each message and preview it. Templates support merge fields such as the patient name, appointment time, provider, location, and the secure cancel or reschedule link.
Reminders
Reminders are sent ahead of the appointment (24 hours by default) to reduce no-shows. Developers can change the window with the medibook/reminder_window_hours filter.
For privacy, intake form answers are never included in notifications. Messages contain only the booking details; sensitive answers stay in the admin, visible to authorised staff.
